As Distribution Services Manager, you'll coordinate the distribution of all mail services within our EY office, including auxiliary mail. You'll process internal and external mail distributions, special packages and deliveries, to provide a consistent, high-quality service.You will manage EY's knowledge, processes and capital resources, including space and equipment. You'll lead and develop individuals and teams using appropriate people management processes and tools. These will include staffing, training, supervising, coaching, and performance management. You'll also be expected to handle customer service challenges and maintain strong customer relationships.
Oversee and coordinate the work of the staff providing mailroom operations and distribution, including auxiliary mail functions (e.g., interoffice mail, certified mail, messenger receipt and deliveries, etc)
Use technology to create efficiencies and process improvements resulting in better customer experiences within the mailroom
Manage vendor relationships and contracts, building business partnerships and ensuring contractual obligations are met
Monitor and evaluate the performance of Distribution Services staff. Help identify opportunities for staff development and cross-training
Coordinate and help with budget planning, and operate within the approved budget
Create and manage business relationships with key users of the mailroom, understanding their business needs
Develop an understanding of the key business and financial drivers that determine EY's success
Exercise influence at many levels of the firm
Operate within EY's standards, and confirm compliance with firm processes and vendor contracts
To qualify, candidates must have:
1-3 years of experience in work routines and procedures for mailroom operations and distribution
Exceptional customer service skills
Excellent interpersonal and communication skills, and the ability to effectively interface with personnel at all levels
Dependability, with excellent organizational skills, business maturity, enthusiasm and a positive attitude
Sound business judgment and initiative
Ability to handle administrative details and day-to-day issues independently, assuming responsibility without direct supervision
Working knowledge of Microsoft Office programs
Attention to detail, with good organizational skills
Ability to manage multiple tasks in a fast-paced environment
Skilled in managing workloads and counseling staff members
