Position Summary

NYU's Gallatin School of Individualized Study is looking for an Administrative Aide II to support our Office of Human Resources and the Finance Office.

Perform a wide range of clerical, secretarial and general office duties including those of a confidential nature for the School's finance and human resources offices. Respond to inquiries displaying a comprehensive knowledge of University and School budget, accounts payable and human resources policies and procedures. Maintain complex financial and budgetary spreadsheets; record expenditures and/or payments ensuring they are posted to proper accounts; apply calculations to data and tabulate. Provide clerical support for recruitment-related activities; forward resumes to appropriate administrators and search committees. Maintain attendance records; track and calculate vacation and sick leave entitlement and balances. Assist with the prioritization of office activities and delegate to and monitor work of student and/or casual employees. Compose letters and correspondence. Perform general word processing, spreadsheet and data entry duties utilizing intermediate-level functions.


Required Education:

High School diploma or equivalent

Required Experience:

3 years' office experience. Experience providing a high level of customer service.

Preferred Experience:

2 years' related experience in a human resources, accounts payable, or budget department (with Associate's degree). 1 year's related experience in a human resources, accounts payable, or budget department (with a Bachelor's degree).

Required Skills, Knowledge and Abilities:

Proficiency with intermediate to advanced word processing, spreadsheet and database applications.

Preferred Skills, Knowledge and Abilities:

Proficiency with intermediate to advanced Microsoft Office or proficiency with Apple. Knowledge of desktop publishing software. Knowledge of Access.
