SUNY Upstate Medical University Administrative Assistant in Syracuse, New York
This will be a full time position split between Transplant and Vascular Divisions in the department of Surgery.
50% of this position will be to provide administrative assistance in Transplant Surgery with various coordination duties, primarily focused on administrative functions associated with the operation of the Transplant Division. The incumbent needs to be able to daily multi-task, interact with both patients, transplant faculty and staff as well as hospital management staff. In addition, the incumbent will be assisting with academic (research) educational activities of the transplant faculty.
The duties of this position will be to assist in conjunction with the Administrative Specialist to meet the needs and to coordinate and organize the Transplant Physicians' activities including Marketing & Outreach of Program growth and development; Implementation of new processes and project management and some office management.
50% of this position will provide administrative assistance in the Vascular Surgery division where basic medical terminology and entering to electronic medical records is needed. Responsibilities will be to provide administrative support for various educational programs supported by the division through Upstate Medical University. Setting up appointments, typing office correspondence, taking minutes and other related materials. Setting up and maintaining database files of patient mailing lists. Providing coordination and admin support to community outreach programs. Generating reports from computer files, compiling information and preparing special mailings. Typing and preparing purchase orders, payment vouchers, and ordering supplies. Scheduling Ct Scans, Venous Studies, and getting the results to the physician. Coordinating travel approvals. Candidate will also provide back up support to the Clinic and Vascular Lab areas as needed. Duties to include coordinating staff at clinic locations with all necessary support documents, calendar dates, etc., scheduling patient tests (X-ray, vascular studies, labs, etc). Checking in and checking out of patients for each satellite.
HIPAA requirements, as well as general customer service skills are necessary.
Other duties as assigned. Associates Degree or pertinent college level courses and two years of administrative/office management experience. Will consider equivalent combination of education and experience.
