Responsibilities

Main Function:

Under general direction and with latitude for independent judgement in a fast paced environment: Implements “off-site” projects consisting of new buildings, alterations and renovations. Manage all phases of project, from budget approvals, to design through direct occupancy. Assures compliance with University standards and contract documents. Assists in the administration of Real Estate Services under the guidance of the Space Planning office of the University’s Medical Center.

Responsibilities:

Manage off-site projects: Coordinate design, financing, contracting, and construction related activities with internal customers and external consultants (architects, contractors, landlords, furniture, signage, movers, phones, network). Maintain client involvement throughout project. Prepare project budgets, budget approval documents. Review contracts for design and construction, work with UR Legal counsel for internal review/approval process. Ensure compliance with University standards for space design and regulatory compliance. Monitor performance of developers and contractors. Review and approve vendor invoices for processing. Schedule and lead project meetings. Recommend innovative solutions to problems. Work with all partners to deliver projects on time and on budget. Work with miscellaneous entities as needed, i.e. Department of Health, municipalities, bus company, etc.

Lease Administration: Prepares lease abstracts for internal approvals. Answers correspondence and other inquiries involving the interpretation of Lease Agreements as well as regulations and procedures. Coordinates expenditures, reviews and approves invoices and allocates expenses. Maintains liaison with respect to maintenance, custodial, purchasing and other central services.

Coordinate identification and selection of medical and business office space for University users: Assist users in determining space needs. Locate, tour and assess prospective space. Work with corporate partners to negotiate transactions. Review draft Agreements. Make recommendations to the approving financial authority. Oversee legal review of documents. Coordinate users occupying and vacating space.

Complete other duties as assigned: Resolve tenant/user concerns, both project and non-project related, by exercising good judgement and communicating frequently. Compiles and analyzes statistics and prepares analytical and evaluative reports. Participates in planning meetings and coordinates the arrangements and preparation of program material.

*Requirements: *

Bachelor’s Degree in related field or equivalent experience. 5 years of experience in project management and/or in high volume work environment. Excellent communication, problem solving, and interpersonal skills. Knowledge of MS Office, Outlook, spreadsheets and database programs highly desirable.
