The ICG Legal team is committed to providing advice and counsel to advance the objectives of our clients. We are a team of diverse professionals committed to legal excellence never compromising our high standards of ethics.

The Markets and Securities Services supports Funds, Custody, Prime Finance, Fixed Income, Equities (listed, Nasdaq, program trading, and non-dollar equity securities), Derivatives, Emerging Markets, Municipals and Foreign Exchange Sales & Trading (individual business units include Government, Agency, Corporate, MBS/ABS, High Yield and Emerging Markets Debt Sales & Trading; Interest Rate, Credit, Commodity, Municipal, Emerging Markets and Equity Derivatives Sales & Trading; Equity and Fixed Income Finance; Equity, Fixed Income and FX Prime Brokerage; Par, Distressed and Emerging Markets Loan sales & Trading; FX Spot, Forward and Derivative Sales & Trading; E-Commerce initiatives involving covered businesses).

Lawyers advise business and the related support units on regulatory, credit and contractual issues. They also advise businesses on investments and M & A transactions, including conducting due diligence, as well as to the structuring of new products and documentation of transactions and client relationships. Lawyers participate in industry groups on behalf of the various businesses.

In addition, the group provides legal support to Treasury, Risk Operations and Financial Reporting.

Summary :

This position will provide support to the Global Co-head of Markets Legal and provide secondary assistant to six other lawyers within the team. Duties are complex and confidential requiring the highest level of discretion and independent judgment. Employees within this role will have continuous contact/communication with high levels of internal management as well as senior management with external firms.

Responsibilities :

  • Provides administrative support to a senior-level executive

  • Handle incoming calls, respond to inquiries, clarify company policies and procedures

  • Maintain frequently changing calendars through Outlook

  • Coordinate all aspects of executive level appointments, meetings, receptions and conference calls

  • Prepares and reviews materials and correspondence for meetings

  • Assist with creation/modification of presentations, spreadsheets, and other various documents

  • Coordinate frequent travel arrangements – both international and domestic

  • Prepare, reconcile, and track expense reports through T&E system

  • Order supplies and process invoices through P2P system

  • Organize and secure highly confidential company and employee information

  • Assist in ad-hoc reports special projects as needed

  • Serve as back up support for other managers or administrative staff when required

  • Ability to follow through on deadlines and projects without management involvement

  • Ability to work collaboratively with senior executives, lawyers and other administrative staff as needed

Qualifications

Technical Skills –

  • Highly proficient in MS Office (Word, Excel, Outlook, and PowerPoint)

  • Ability to gain a strong command of new systems (P2P, Citi Travel & Expense)

Non-Technical Skills –

  • Prior experience preferred 5-10 years as an Executive Assistant or Legal Secretary

  • Previous experience working in a law firm or with seniors in a large organization

  • College degree preferred

  • Expert in multi-tasking, organizing, and prioritizing a must

  • Strong written and verbal communication skills

  • Detail oriented with ability to work independently and prioritize workload

  • Demonstrates a high level of integrity and professionalism

  • Energetic, responsive team player with the interest to take initiative and work in a fast-paced environment

  • Ability to work 8:30am-5:30pm and be flexible for overtime as needed
