Advertised Summary Job Description

The Assistant Director (AD) oversees the daily operations of all Print Services business components and locations. The AD is an integral part of Print Services responsible for servicing Columbia University and the medical center campus, comprised of more than 20,000 students, 8,000 faculty members and 3,000 administrators. The AD oversees the following components of the business: Creative Design, Desktop Publishing services, sheetfed digital and large format print production services, Bulk Mail services and Print Shops located in Journalism building and the CUMC.

The AD promotes the department and develops strategic partnerships with other departments in order to fully support the university's marketing and communication's efforts.

The AD is responsible for ensuring that the department is operating efficiently, effectively and safely. The AD oversees over 20 FTE comprised bargaining unit and officer staff. The AD is responsible for ensuring that Columbia Print meets all customer expectations and consistently facilitates a positive experience for all clients.

Responsible for managing expenses and revenues and timely billing for all of the above mentioned business components valued at approximately $7 Million.

Updates job knowledge of self and team by participating in educational opportunities; reading professional publications; maintaining professional networks; participating in professional organizations and trade shows.

Minimum Qualifications for Grade

Applicant MUST meet these minimum qualifications to be considered an applicant

Bachelor's degree required. Minimum of 4-6 years of related experience required. Experience in an administrative services role for a complex organization preferred. Must have a good understanding of collective bargaining agreements and recent experience managing bargaining unit employees. Ability to reconcile and manage operational budgets for multiple units is necessary. Broad computer skills required including Adobe In-Design, Illustrator, Photoshop, Quark and the MS Suite. Must be able to build relationships across multiple business units and customer service base. Excellent oral and written communication skills required.

Essential Functions

Effectively manage the operational responsibilities of a budget of approximately $7 Million.

Ensure a service centric business model with consistent policies, procedures and applications.

Direct the management of 20+ employees in all business units.

Oversee development and training of the staff to ensure high quality customer service, cross training, staff development and succession planning.

Ensure compliance with the terms of union agreements.

Develop work processes and procedures with the Director and Accounting Manager to ensure fiscal integrity and timely billing of all operations.

He/she will guarantee that all production equipment is operational and that the department remains competetive both technologically and operationally.

Develops and implements marketing strategies to maintain and increase client base in and outside of CU.

The incumbent is also responsible for ensuring that inventory levels (in-house and off-site) are always ready to meet the demand of the customers. Performs monthly inventory accounting.

Ensures the professional, cleanliness, timeliness, safety and standardization of all copy shops.

Miscellaneous duties as assigned.
